Secure Collaboration

As an MSP, you want your clients to work and collaborate effortlessly, without worrying about misplaced and deleted content. But when your users rely on outdated tools to share and transfer files, you see data sprawl, lost or compromised content, and inefficient collaboration.

Canadian Cloud Sync empowers users to securely collaborate—in real time—on workstations, laptops, mobile devices, and the cloud. With Canadian Cloud Sync, you give your clients:

  • Centralized data
  • Secure sharing tools; and
  • Real-time collaboration.

Centralized Data

Many businesses continue to use email and other outdated tools to transfer files back and forth, forcing employees to rely on file attachments without versioning capabilities. Files are quickly lost in inboxes, and data is consistently duplicated with each click of the Send button.

Canadian Cloud Sync provides the most secure and streamlined approach to collaboration, centralizing content in shared locations, and providing administrators additional oversight into what employees are distributing inside and outside of the business. Data remains contained within—and secured by— the Canadian Cloud Sync system, and never passes to a third party.

Team SharesTeam Shares
Using Team Shares, groups of users—called subscribers—can collaborate on shared content in one central area. Team Shares prevent unnecessary data sprawl across groups and organizations, ensuring that shared content is never unnecessarily duplicated, and a file's most up-to-date version is always readily available on any device. Additionally, Canadian Cloud Sync allows you to create cross-organization Team Shares, allowing users in unrelated organizations to collaborate in the same Team Share location.

File & Folder LockingFile and Folder Locking
Canadian Cloud Sync allows users to place locks on files and folders in Team Shares, giving subscribers the ability to set read-only permissions on shared content. Additionally, using the Auto-Lock feature, you can ensure that your most popular file types—such as documents, presentations, and spreadsheets—automatically lock at time of access, preventing conflicts and data sprawl. Users can place locks on a whole Team Share, a subfolder in a Team Share, or a file in a Team Share.

Revision ControlRevisions
Canadian Cloud Sync captures all revisions (versions) of each file stored in the system, allowing users to view or restore older revisions if necessary. The Revisions feature is one of many data protection features available to end users, and is especially useful when collaborating with groups of users in Team Shares.

Secure Sharing Tools

If your clients are sharing files and folders the old-fashioned way, they face serious security threats, risking malicious data interception and costly compliance violations.

Canadian Cloud Sync allows for quick and secure collaboration on individual files and entire folders, so that your data is never intercepted by unauthorized third parties. You and your users control how recipients access shared content, and monitor and revoke access when necessary.

Secure Share LinksSecure Share Links
Share links allow users to share a direct link to a file or folder to internal or external users. Users can send a public share or a secure share. Secure shares require each recipient to log in with their own unique login credentials, ensuring additional security for sensitive data. You can even create a guest account by specifying the user’s email address. The system will automatically send this guest user login credentials so that he or she can easily and securely access your shared data.

Expiration and Notification SettingsExpiration and Notification Settings
When sending a share link, users can configure share options, providing additional insight into how and when recipients access shared content. For example, users can:

  • Select whether the share link will expire after a certain date
  • Set a download limit
  • Turn on email notifications for when the share is downloaded or uploaded

Folder PermissionsFolder Permissions
When sending a share link to a folder, users can configure share permissions for each recipient, including:

  • Can Modify permissions allow the recipient to edit file or folder content using the Collaborative Web Editor, and upload files and revisions into the folder.
  • Can Delete permissions allow the recipient to delete files within the shared folder.

Outlook AddonThe Outlook Add-In
You can download and install the Outlook add-in to your local machine, allowing you to convert attachments to share links so that sensitive data can be distributed securely. Additionally, you can deploy the Outlook add-in without the desktop client, so that you can share data that never touches the local filesystem.

Real-Time Collaboration

When your users rely on email or second-rate File Sync and Share tools, they are forced into inefficient collaboration methods, slow wait times, or a reliance on third-party downloads and licensing fees.

With Canadian Cloud Sync, you have access to the Collaborative Web Editor, facilitating immediate and secure collaboration. The Collaborative Web Editor gives coauthors the ability to edit simultaneously, manage changes, and even utilize the integrated chat feature, all within their preferred Web browser. With Canadian Cloud Sync, your users never wait to get their work done, ensuring fast and easy collaboration, and happy clients.

Web EditorThe Real-Time Collaborative Web Editor
With the real-time Collaborative Web Editor, you can securely edit documents, spreadsheets, and presentations when working in the web portal, without needing to download a separate application or pay additional third-party licensing fees. Data remains contained within—and secured by— the Canadian Cloud Sync system; never passing to a third party. Advanced functionality includes:

  • Access a wide range of formatting tools to help you update fonts, paragraph formats, charts, tables, images, style types, and more
  • Securely edit simultaneously with unlimited coauthors and view their changes in real time
  • Send and receive instant chat messages
  • Add, view, and manage changes and comments

Additional Best Practices

You might also consider implementing the following best practices to further promote secure collaboration:

  • Utilize Selective Sync so that you only download work-critical files and folders, reducing security vulnerabilities that might exist when you expose data to a local machine.
  • Turn on the Web Preview tool to allow share recipients to preview content in the web browser before editing or downloading items to their local machine.
  • Monitor guest account access from the administrative web portal, and remove access when necessary.
